Make Your Funnels Your Own
When you first install Funnel Metrics, you'll be using the classic Full Circle funnel by default:
We're pretty fond of the classic funnel, if we do say so ourselves. But everything is customizable these days, and your funnels are no exception. Let's say your business uses the term MQR, rather than MQL. Your funnel can reflect that! All you need to do is clone the funnel, click into the new draft funnel, edit the funnel stage name, and save. The result will look like this:
Or maybe your business uses more funnel stages, or fewer. You can make that happen, too! Here's an example of a funnel with seven stages. Read on to learn more about creating and editing your funnels:
Creating and Editing Funnels
1. Draft, Active and Archived funnels
A funnel can exist in one of three different funnel states.
- Draft funnels are editable and have not been activated. You can only edit a funnel when it is in draft state.
- Active funnels have been activated, which means the Funnel Metrics system is currently using them. Yay! They're fulfilling their destiny!
- Archived funnels are no longer active, and have been replaced by a new funnels that were once active, but have been pushed out of active state when another draft funnel was activated. Saving prior versions of a funnel allows you to see what funnel you were using, for comparison purposes.
2. Creating a New Funnel
You can create a new, blank funnel from the Draft Funnels tab by clicking the "+" in the upper right-hand corner of the page.
Note: Your changes won't be saved automatically, so be sure to click "Save" regularly.
3. Cloning an Active Funnel
Draft and Active states only permit one funnel per Campaign Sourced By value. If there is no draft funnel yet, click the Clone button in the upper right hand corner of the Active tab to clone an active one.
4. Editing a Funnel
To edit a funnel, click on the Draft Funnels tab and click into the funnel you'd like to change. As you're editing, remember to save your work as you go. With your draft saved, you can come back as many times as you need to get it absolutely perfect before activating.
5. Activating a Funnel
To activate a draft funnel, just click the Activate button.
Note: If the Activate button is grayed out, this likely means there are unsaved changes. Click "Save," then activate away!
Editing an Individual Funnel Stage or Milestone
Funnel stages and milestones are each made up of three elements:
1. Triggering event
2. Campaign member funnel fields to be populated upon stage attainment
3. Campaign member user fields to be populated upon stage attainment
Want to tailor these elements to fit your organization like a glove? Good news: You can! Here's how.
1. Triggering Events
With Funnel Metrics, you can define the triggering events or conditions under which progress to a funnel stage is achieved from within application configuration. The types of events that can trigger funnel stage progression are:
- Field Update on the Campaign Member or Opportunity
- Opportunity Association
- Lead Conversion
- Insertion of a new Active Response
- Insertion of a New Response
Note: If you select Field Update as triggering event, the application will prompt you to select either the Opportunity or the Campaign object where the field update occurs to be evaluated in setting the stage.
You can configure multiple triggering events. If you do, they work using OR logic; any one event attained will trigger the funnel.
Once you've defined your chosen triggering event(s), you can also choose to define Campaign Member Filter Criteria. These criteria lay out the conditions conditions that should be met for the stage to be attained.
Here's what a triggering event looks like for a new response:
2. Fields to Populate
Funnel stage attainment is tracked on the campaign member using a combination of a checkbox, a date, and a date/time field. By default, date and date/time fields will be populated with the date and time of the triggering event. If the field is already populated, Funnel Metrics won't overwrite the existing value.
If you're a little bit of a maverick, you can define your own source field to populate the date and date/time fields. When you're using the Source Field, write the campaign member field API (e.g. FCRM__FCR_Response_Date__c). To use a field from another object, write the object and field API (e.g. FCRM__FCR_Opportunity__r.CreatedDate).
Note: When checked, the "Use formula fields to track funnel progress" box's Fields to Populate picklists will be replaced with Formula Field picklists. Response Management will not populate these formula fields; they will work as Salesforce intends. User Tracking will depend on Triggering Events.
Below is an example of Fields to Populate:
3. User Tracking
You can configure user-related fields to be populate on the campaign member upon stage attainment. That way, administrators can define User, Role, and/or Profile information from a running user or record owner. This can come in handy if an administrator wants to track which user profiles first engaged with certain leads or contacts.
This information is tracked on a campaign member field. Here's what it looks like:
4. Funnel Stage order
Moving funnel stage order is a simple drag-and-drop. When the funnel is in draft state, simply click on a stage, drag it up or down, and then save and activate the funnel.
