Keep an Eye on the State of Things
All the matter on this planet exists in one of three states: Solid (like a banana), liquid (like a banana milkshake), or gas (like a banana that's just been vaporized, leaving a cloud of steam behind). Likewise, all of your funnels within Funnel Metrics exist in one of three states: Draft, Active, or Archived. Here's the lowdown on each one.
Draft
Draft funnels can be edited. Take a look around the Draft tab, and you'll notice:
- The top header shows existing draft funnels. Note: Funnel Metrics allows one funnel per Campaign Source By value in Draft state.
- In the right-hand corner of the header, there's a + button. Click on it to create a new funnel.
- There are three buttons at the top of each funnel.
- Delete: To delete this individual draft funnel.
- Save: To save this draft funnel. Note: We recommend saving often, after every change.
- Activate: To activate this draft funnel. If the funnel has been edited since it was last saved, the Activate button will be grayed out. If there an active funnel already exists for this Campaign Source By value, clicking "activate" on your current draft funnel will archive the current active one.
- At the bottom of the Funnel Stage, section there is a + button. Click on it to add funnel stages.
- At the bottom of the Milestone section, there is a + button. Click on it to add milestones.
- To edit an individual funnel stage or milestone, click the corresponding Edit button.
- To view more details without editing a funnel stage or milestone, click the corresponding View button.
- To remove an individual funnel stage or milestone, click the corresponding Remove button.
Active
Active funnels are funnels currently in use by Funnel Metrics. Only one funnel may be default.
- The top header shows existing draft funnels. Note: Funnel Metrics allows one funnel per Campaign Source By value in Active state.
- There is a checkbox next to the default funnel.
- There are three buttons at the top of each active funnel
- Deactivate: Use this button to deactivate the funnel. A copy of this funnel will then appear in the Archived Funnels tab. You may not deactivate the default funnel.
- Clone: Use this button to make a clone of this funnel. The clone will appear in Draft funnels. You may change the Campaign Sourced By value when cloning a funnel. You may not make a clone if a default funnel already exists for the selected Campaign Sourced By value.
- Make Default: Use this button to change the default funnel. For more details on the default funnel, see below.
- Each funnel stage and milestone has a corresponding View button to view all the details.
Archived
Archived funnels were previously active, but have since been replaced. Saving prior versions of a funnel allows you to see what funnel you were using in the past, for comparative purposes.
- The top header shows existing funnels that have been archived. Each funnel value may have multiple archives.
- Each archived funnel has a check box to the left of it.
- In the right-hand corner of the header, there's a Bulk Remove button. It will remove all checked archived funnels.
- Each archived funnel has three buttons:
- View: To view the details of this archived funnel
- Clone: To clone the funnel. The clone will appear in Draft funnels. You may change the Campaign Sourced By value when cloning a funnel. You may not make a clone if a default funnel already exists for the selected Campaign Sourced By value.
- Delete: To delete the archived funnel
The Default Funnel
Some businesses require multiple funnel styles with different stages. Other businesses have several Campaign Sourced By values using the same funnel. And other businesses don't need any of that – they just keep it simple. To make sure everything runs smoothly, no matter how many or how few funnels are in use, Funnel Metrics always forces one funnel to be the Default funnel. You can tell which one it is because there'll be a check in the box beside its name. The Default funnel will be used for any Campaign Sourced By values that do not have a unique funnel defined.
For example, let's say your Campaign Sourced By picklist field has 4 values:
But only two funnels are defined:
All Campaign Sourced By values that do not have a unique funnel will use the default funnel. So in this example, all campaigns with Campaign Sourced By = Sales will use the Sales funnel, and all campaigns with Campaign Sourced By = Marketing, Partner or Internal will use the Marketing campaign.
