Response Management 1.36 Release Notes

Version 1.36 of Full Circle Response Management contains a number of improvements and fixes. Highlights are below in the Release-at-a-Glance.

Improvements

Default Active Status Overrides

What:

Lead/Contact default active statuses can now be set based on the "Campaign Sourced By" value on the campaign that they are added to. 

Where:

To configure, navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Status Mappings/Default Active Status Overrides.

Who:

This feature benefits system administrators and marketing and sales teams. 

Why:
  • System administrators no longer need to spend time configuring and maintaining workflow rules and/or processes to override the status based on "Campaign Sourced By".
  • Marketing and sales teams that utilize different status values are more easily accommodated. 
When:

The feature is automatically available but must be configured prior to using.

How:
  • Do your sales and marketing teams use different active statuses for leads/contacts? If so, compile a list of the statuses.
  • To enable active status overrides you must first Disabled First Owner Setting in Advanced Config
  • Navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Status Mappings/Default Active Status Overrides.
  • Configure the override values for lead/contacts based on "Campaign Sourced By" value.
  • Click "Save and Return to Main" and you are done.

Key Considerations
  • To enable active status overrides you must first disable first owner setting in advanced configuration.
  • For Response Prompt Reactivation, the override is applied and is based on the response prompt campaign, not the campaign being reactivated.
  • For Score Reactivation, the override is NOT applied.
  • For Active Status Reactivation, the override is NOT applied.
  • For Process Builder Reactivation:
    • When Lead and Contact Status to Set = NO, the override is NOT applied.
    • When Lead and Contact Status to Set = YES, the override is applied.

User Based Async Scoring

What:

Response Management can be configured to perform scoring on a delay (asynchronously), based on the user that is inserting/updating campaign member records and the number of records that are being inserted/updated. 

Where:

To configure, navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Advanced Configuration/User Based Async Scoring.

Who:

This feature may benefit customers that have external integration(s) that are inserting/updating large numbers of records one at a time or in very small batches in rapid succession. This can result in frequent record locking errors for periods of time in an org. Some marketing automation and sales engagement platforms may do this.

Why:

Rapid updates of a large number of records one at a time often causes record locking errors for other code/components in the org. This feature will allow Response Management to detect when this scenario is occurring and perform scoring evaluation on a delay, which will reduce record locking errors. 

When:

The feature is automatically available but must be configured prior to using.

How:
  • Navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Advanced Configuration/User Based Async Scoring.
  • Select the user. Typically, this is an integration user for marketing automation or sales engagement platforms.
  • Click "Add Async User".
  • The page will reload. Scroll back down to User Based Async Scoring.
  • Accept the default values for Delay(20) and Threshold(1)
  • Click "Save and Return to Main" and you are done.

Async Request Merge: Active Status Reactivation

What:

When Active Status Reactivation is configured with a delay, one async request is created per lead/contact update. When leads/contact statuses are updated one by one in rapid fire this can cause an excessive number of async requests to be created, which can result in slower processing for the async system. Response Management will detect this scenario and will merge async requests to enable bulk processing which will improve performance.

Where:

Active Status Reactivation, found on the Reactivation Configuration page.

Who:

Customers that have Active Status Reactivation configured and also have a sales engagement or marketing automation platform integrated to their org.

Who:

To improve performance of the async system.

When:

The improvement is automatically available. No configuration is required.

Bulk Delete Archived Funnels

What:

Archived funnels can now be deleted in bulk.

Where:

To access this feature, navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Funnels/Archived Funnels.

Who:

Customers that have a large number of archived funnels may benefit from this feature.

Why:

Removing archived funnels that are no longer in use speeds up the configuration page because less data needs to be loaded into the UI.

When:

The feature is automatically available to all users that have access to the funnel configuration.

How:
  • Navigate to Setup/Installed Packages/Full Circle Response Management/Configure/Funnels/Archived Funnels.
  • Using the checkboxes, select the funnels that you want to delete.
  • Click the "Delete" button

App Configuration for Non System Administrators

What:

Users that are not assigned the System Administrator profile are now able to use the application configuration pages.

Who:

System administrators who would like to allow other users to configure Response Management but cannot grant them System Administrator privileges.

Why:

Sometimes there are users that need to be able to configure Response Management but do not have sufficient privileges.

When:

The feature is automatically available but must be configured prior to using.

How:
  • Grant the user the system permission called "Customize Application".
  • Assign the user the permission set called "Full Circle Response Management".
  • Have the user navigate to Setup/Installed Packages/Full Circle Response Management and click the "Configure" link
  • If the user doesn't have access to the "Configure" link in Installed Packages they can do the following to access the configuration:
    • Navigate to Setup/Custom Code/Visualforce Pages.
    • Find the page with the name FCR_VFConfigMain
    • Click the preview icon.

New Velocity Fields on Aggregate Entry Object (Digital Source Tracker)

What:

The following new fields have been added to the Aggregate Entry custom object (FCRM__FCR_Aggregate_Entry__c):

  • Inquiry Velocity Total Days

  • MQL Velocity Total Days

  • SAL Velocity Total Days

  • SQL Velocity Total Days

  • Won Velocity Total Days

Who:

System administrators that are using the Digital Source Tracker Advanced Integration features will benefit from the addition of these fields to the package.

Why:

Digital Source Tracker Advanced Integration performs various aggregations of data to the Aggregate Entry object. One of those aggregations is the total number of days between funnel stages for a particular day (also known as velocity). Previously, to enable this feature, system administrators would need to create new custom fields on the Aggregate Entry object that corresponded to the funnel fields on the Campaign Member object. With the addition of these fields, if the funnel is configured using out of the box funnel fields, then system administrators will no longer need to create the custom fields enable this feature.

When:

The fields will be visible to system administrators when viewing the Aggregate Entry object, but they won't be used unless Digital Source Tracker Advanced Integration is enabled and configured.

How:

Contact Full Circle support to get help configuring Digital Source Tracker Advanced Integration. This is a program that is currently in pilot.

Funnel Configuration UX Improvement

After saving a funnel, the user will remain on the same tab as they were prior to clicking save. Previously the user would always be taken to the "Active" tab, which made working on draft funnels with frequent saves difficult. 

Fixes

There are a number of bug fixes that are included in this release:

  • Fixed issue where funnel metrics were not aggregating correctly for Digital Source Tracker aggregation.
  • Fixed issue where refreshing the funnel configuration page while an active funnel is being created would create two active funnels.
  • Fixed issue where cloning an active funnel may result in the new draft funnel having extra funnel stages.
  • Fixed issue where invalid configuration of a funnel could cause the main configuration page from loading successfully. 
  • Fixed issue where reactivated responses were not automatically getting funnel stages set.
